This Privacy Policy explains how VantageIEP, a service operated by Joshua Wood (“VantageIEP,” “we,” “us,” or “our”), collects, uses, and discloses information in connection with our website and related services (collectively, the “Service”), and describes the choices you have regarding your information. In this Policy, “Personal Information” means information that identifies, relates to, or could reasonably be linked with you.

Because the Service is used to review Individualized Education Program (“IEP”) documents that concern children and constitute sensitive education records, we handle those documents with particular care, as described in “How We Handle Uploaded Documents” below. VantageIEP provides educational information only and is not a law firm; nothing in the Service or this Policy is legal advice. By accessing or using the Service, you agree to this Privacy Policy.

Information We Collect

Information you provide to us.

  • Uploaded Documents. The IEP document you upload so that we can prepare your report (“Uploaded Documents”).
  • Contact information. Your name and email address, which you provide when you request access, purchase a report, or contact us.
  • Communications. The contents of messages, requests, and other information you send us, including through our access-request form.

Payment information.

When you make a purchase, our payment processor (Stripe) collects and processes your payment details. We do not receive or store your full payment card number.

Information collected automatically.

When you use the Service, we automatically collect limited technical information, such as your IP address, browser type, and basic usage data, through standard server logs. We use this information to operate, secure, and maintain the Service.

How We Use Your Information

We use the information we collect to:

  • provide, operate, and maintain the Service, including generating and delivering your report;
  • process transactions and send related information, such as confirmations and receipts;
  • respond to your inquiries, requests, and support needs;
  • send you administrative and transactional communications;
  • with your consent, send you product updates and other marketing communications;
  • monitor and improve the Service, and detect, prevent, and address security issues, fraud, or abuse; and
  • comply with applicable legal obligations.

How We Handle Uploaded Documents

We recognize that Uploaded Documents are sensitive, and we handle them as follows:

  • Redaction of typed documents. For text-based (typed) PDFs, we automatically remove common identifying details (such as names, dates of birth, and identification numbers) before the document is analyzed.
  • Scanned documents. Scanned IEPs are images rather than machine-readable text, so the automatic redaction step cannot be applied to them, and they are analyzed as uploaded. You control what information is visible in any document you choose to upload.
  • Analysis. To generate your report, an Uploaded Document is processed by a third-party provider under strict data processing terms, which returns the analysis used in your report.
  • Deletion. Uploaded Documents are deleted promptly after your report is generated. We do not retain them, and Uploaded Documents are not used to train any model. If report generation fails, we may temporarily retain the Uploaded Document solely to permit a retry without another charge; it is deleted after a successful retry or automatically within 24 hours, whichever occurs first.

How We Disclose Information

We do not sell or rent your Personal Information. We disclose information only as described below.

Service providers.

We share information with third-party vendors who perform services on our behalf and are contractually restricted from using it for any other purpose. These include:

  • Stripe, for payment processing;
  • a third-party provider that performs the document analysis, under strict data processing terms (your content is not used to train any model); and
  • reputable third-party providers for website hosting, storage, and email delivery, each bound by data-processing terms.

Legal and safety.

We may disclose information if required to do so by law, or in the good-faith belief that such action is necessary to comply with a legal obligation, protect the rights or safety of any person, or investigate fraud or abuse.

Business transfers.

If VantageIEP is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to the commitments made in this Policy.

Data Retention

We retain information only for as long as necessary to fulfill the purposes described in this Policy, unless a longer retention period is required or permitted by law.

  • Uploaded Documents are deleted promptly after your report is generated. If report generation fails, we may temporarily retain the uploaded document solely to permit a retry without another charge; it is deleted after a successful retry or automatically within 24 hours, whichever occurs first.
  • We do not retain the generated report on our servers after it is delivered to you. A copy emailed to you remains in your email account until you delete it.
  • Contact and request information is retained to provide the Service and, for marketing, until you unsubscribe or ask us to delete it.
  • Technical and log data is retained for a limited period for security and abuse-prevention purposes.

Data Security

We implement reasonable administrative, technical, and organizational measures designed to protect your information, including encryption in transit. However, no method of transmission over the Internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

Your Rights and Choices

Depending on your jurisdiction, you may have the right to access, correct, delete, or port your Personal Information, or to object to or restrict certain processing. To exercise these rights, contact us at support@vantageiep.com. We will respond consistent with applicable law.

Marketing communications.

We send marketing communications only to individuals who opt in. You may opt out at any time using the unsubscribe link in any marketing email. Requesting access or a code does not, by itself, enroll you in marketing.

State privacy rights.

If you are a resident of California or another U.S. state with a comprehensive privacy law, you may have additional rights regarding your Personal Information, including the rights to know, access, correct, and delete it, and the right not to be discriminated against for exercising those rights. As noted above, we do not sell your Personal Information.

Do Not Track.

The Service does not currently respond to “Do Not Track” browser signals.

Children’s Privacy

The Service is intended for use by adults (parents, guardians, advocates, and attorneys). Although Uploaded Documents concern children, we do not knowingly collect Personal Information directly from children under 13. If you believe a child has provided us with Personal Information, please contact us and we will take appropriate steps to delete it.

Your Responsibilities

By using the Service, you represent that you are the parent or guardian of the child to whom an Uploaded Document pertains, or a professional authorized to have and review that document. You are responsible for ensuring that you are authorized to review any document you upload.

Cookies and Similar Technologies

We use only the cookies and local storage necessary to operate the Service, for example, to temporarily hold your report in your browser so that you can view it. We do not use third-party advertising or cross-site tracking technologies.

Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Service after any changes become effective constitutes your acceptance of the revised Policy.
